What is an ACE Project?
Any project that:
Adds items or permanent equipment to a facility Changes permanent features or equipment to a facility Enhances a facility to be greater than how the building was designed. Basically, things like adding a shade structure where one had never been, changing a functioning water fountain into a bottle filler or Enhancing a room with colorful new paint or carpet when those existing items were already in good condition. |
How are ACE Projects Funded?
Typically, Ace Projects are funded by donation because they fall outside of what our schools normally budget for.
Sometimes a school or department will contribute funds if available. Most school funding is already earmarked for normal day to day operations of running our schools so these funds are very limited. Sometimes Bond funds are used if the project fits into an existing Bond category and scope. This is rare as most Bond projects are already budgeted and planned for. |

Grounds
- School Gardens
- Playground Equipment - Benches, picnic tables or trash bins - Shade Structures - Artificial turf - Decorative trimming of trees / shrubs - Animal pens (chicken coops, etc) - Any project requiring digging more than 3 inches Furniture
- Classroom Furniture
- Cafeteria Furniture - Outdoor Furniture - Office Furniture (3+ items) Other
Any request that alters permanent features or equipment a fixed to buildings or grounds.

- Bottle Fillers
- Water Fountain in new place - Sinks or upgraded faucets Painting
- murals / wall wraps
- changing the color of the paint in a classroom Carpentry
- Adding cubbies or cabinets
- Removing / Replacing White Boards - Adding new rows of backpack hooks - Closet shelving - Adding lockers - Adding windows / doors / walls |

What is the difference between normal Maintenance and an ACE Project
Maintenance is the repair of existing facilities to the original specifications of the building.
A few examples:
repairing a water fountain is a normal Maintenance work order; replacing a functioning water fountain with a bottle filler is an enhancement or ACE project.
Touching up scratched paint is a Maintenance work order, changing the color of non-damaged rooms is an enhancement. Painting entire rooms of old damaged paint is Bond work.
Planting bedding plants in established gardens is a school decision. Adding gardens or planting trees is a Change requiring an ACE project.
Repairing a broken outlet is a Maintenance work order. Moving or adding outlets is an ACE project.
Appliances - Small items like microwaves, toasters or desk fans are a school decision. Any purchase of large appliances like washer/dryer, stoves/ovens or refrigerators/ice machine is a Change needing an ACE form but is funded by the school site or donation.
Playground Equipment / Outdoor Furniture - repairing playgrounds is a normal Maintenance work order. Adding or replacing anything students are able to play / climb / sit on is an ACE project so we can ensure safety requirements are met.

Timelines
How Fast can your Project move thru approvals and be completed?
Complicated question as it depends on your project.....
A simple request to plant a tree for Earth Day might only take a week for us to approve the spot for digging and the variety of tree.
Most projects are larger and take several months. We ask that you submit 3 months ahead of the desired completion date.
For summer projects please submit prior to Spring Break as summer is the busiest time for maintenance staff.
Please be aware ACE projects have no dedicated staff, we fit them it around normal Maintenance work orders as best as we can.
This means staff might be called away in the middle of your project for more urgent student and staff needs.
We are excited to help you complete your projects but please be flexible.
